Terms & Conditions
1. Reservations & Bookings
Our online booking system provides live vehicle availability and instant booking confirmation.
To make a reservation, customers must:

Select collection and return locations, dates, and times

Choose a vehicle category

Review and confirm the booking price
-
Provide accurate personal, driving, and contact details
Once confirmed, a booking confirmation email will be issued outlining the reservation details.
Optional extras, including additional drivers, child seats, and mileage upgrades, may be added during or after the booking process, subject to availability.
Online Check-In Requirement
Where applicable, customers must complete online check-in at least 48 hours prior to collection.
Failure to complete required pre-check-in procedures may result in:

Cancellation of delivery or meet & greet services

Delays or refusal of vehicle release
-
Loss of prepaid amounts where cancellation occurs within 48 hours of collection
Approved refunds are typically processed within 5–7 working days.
2. Payment & Security Deposit
A refundable security deposit is required before the vehicle can be released.

Premium and luxury vehicles: up to £3,000
Deposits must be authorised on a valid payment card in the main driver’s name.

All payment cards must:

3. Vehicle Allocation
Vehicles displayed on our website are representative examples only.
While we aim to provide the reserved vehicle, Essential Luxury Drivers Ltd guarantees:

An equivalent vehicle category
-
Similar specification and size
-
The same transmission and fuel type where possible
Specific makes, models, colours, or features cannot be guaranteed.
Cancellation Policy
Booking Cancellation & Amendments
At Essential Luxury Drivers Ltd, we understand that plans can change. The following cancellation policy applies to all vehicle hire bookings unless otherwise agreed in writing.
Standard Bookings

Cancellations made more than 48 hours before the scheduled collection time will receive a full refund of prepaid rental charges.

Cancellations made within 48 hours of collection may incur a cancellation fee of:

The deposit paid; or
-
Up to 2 days rental charge, whichever is lower.

Failure to collect the vehicle without prior notice (“No Show”) may result in all prepaid amounts being retained.
Non-Refundable & Promotional Rates
Certain discounted, promotional, prepaid, or special offer bookings may be non-refundable and non-transferable.
These bookings cannot be refunded or amended once confirmed.
Booking Amendments
All amendments are subject to vehicle availability.
Changes to:

Times
-
Vehicle category

Collection or return location
may result in revised pricing.
Essential Luxury Drivers Ltd reserves the right to refuse amendments within 24 hours of collection.
Early Returns
No refunds or credits will be issued for vehicles returned before the agreed return date.
Out of Hours (OOH) Services
Out of hours collection and return fees are non-refundable once arranged.
Refund Processing
Approved refunds are normally processed back to the original payment method within 5–7 working days.
Vehicle Availability
Whilst every effort is made to supply the reserved category, Essential Luxury Drivers Ltd reserves the right to provide an alternative vehicle of similar or higher category if necessary.
Force Majeure
Essential Luxury Drivers Ltd accepts no liability for delays, cancellations, or inability to provide services caused by circumstances beyond reasonable control, including:

Severe weather
-
Government restrictions
-
Industrial action
-
Accidents or vehicle damage prior to hire
4. Driver Eligibility
Age Requirements

Minimum rental age: 25 years
-
Maximum rental age: 75 years
Licence Requirements
Drivers must:

Hold a full valid driving licence
-
Have held their licence for a minimum of 12 months
Premium and luxury vehicles may be subject to stricter eligibility requirements.
Required Documents
All drivers must provide:

Valid driving licence

Proof of address (UK residents)
-
Passport or government-issued ID
-
DVLA check code (UK licence holders)
Drivers presenting non-English licences must also provide an International Driving Permit where applicable.
Driving History
Drivers must maintain an acceptable driving history and have no serious motoring convictions.

5. Insurance & Liability
All rentals include:

Fire and theft protection

Collision Damage Waiver (CDW)
Excess
Standard vehicles are subject to a variable insurance excess.
Premium and luxury vehicles may carry an excess between £2,000 and £3,000.
Optional protection packages may be available to reduce liability.
Security Deposit
A security deposit will be held against the applicable insurance excess and may vary depending on:

6. Delivery & Collection Services
Delivery and collection services are available upon request and subject to availability.
Additional charges may apply depending on:

Time of day
All delivery requests must be arranged in advance.
7. Additional Services

8. Fuel Policy
Vehicles must be returned with the same fuel level provided at collection.
Failure to do so may result in:

No refunds will be issued for unused or excess fuel.
9. Electric Vehicles
Electric vehicles must be returned with a minimum 80% battery charge unless otherwise agreed.
The hirer remains responsible for:

Idle fees or associated costs
10. Vehicle Condition & Damage
The hirer is responsible for the vehicle throughout the rental period.
The customer may be held fully liable for damage resulting from:

Negligence
-
Misuse
-
Dangerous driving

Breach of rental terms
Charges may include:

Repair costs

Loss of use
-
Recovery charges
-
Administration fees
11. Fines, Penalties & Traffic Charges
The hirer is fully responsible for:

Parking fines

Congestion charges
-
Toll charges
-
Traffic or driving offences
An administration fee may apply for each offence processed.
12. Vehicle Collection & Return
Vehicles must be collected and returned at the agreed date and time.
Late returns may result in:

Additional rental charges

Late fees

Additional insurance costs
Failure to collect the vehicle may result in cancellation charges.
13. Cleaning & Vehicle Usage
Vehicles must be returned in a clean and reasonable condition.
Additional charges may apply for:

Excessive cleaning

Smoking inside the vehicle

Pet hair or odour removal
-
Interior damage
14. Travel Restrictions
Travel outside the United Kingdom must:

Be approved in advance

Meet insurance requirements

Be subject to additional charges where applicable
Unauthorised international travel is considered a breach of the rental agreement.
15. Rental Duration
The maximum rental duration permitted under a single rental agreement is 90 days unless otherwise agreed in writing.
